JOB TITLE: Office Assistant        

DEPARTMENT: Management and Operations

REPORTS TO: Building Principal                                        




The Office Assistant will support the building Principal and Office Manager in assuring that high quality educational services are delivered to all students.  The Office Assistant will assist in serving as the front-line greeter and provide clerical support. The work supports student achievement, business operations and promotes a healthy building-level culture and climate.



Key responsibilities include but are not limited to:

  • Builds a welcoming campus environment by greeting parents and visitors in person and over the phone and ensuring that prospective families are offered school tours with Building Principal and enrollment materials.
  • Provide assistance to Academy administrators and other staff, as assigned by the Building Principal.
  • Create and maintain secure student files, including collecting registration materials, permission slips, progress reports, and other relevant materials as part of a student's permanent file.
  • Record daily attendance data in the Student Information System based on data supplied by teachers and by parents of tardy/absent students and as directed by the Office Manager.
  • Handle data entry and maintenance into the Student Information System (attendance & enrollment data).
  • Maintain school calendar of events, including scheduling campus events and facility use requests and assist with coordination of services and activities.
  • Facilitate communications to families by organizing the monthly newsletter with Building Principal, calling parents to complete forms, collecting RSVP's for events and other communications work as directed.
  • Copy, print, collate and otherwise help coordinate all tasks required for the production of documents or reports.
  • Answer phones, with emphasis on answering questions/resolving issues then redirecting phone call.
  • Other duties as assigned.




  • High School diploma or equivalent.
  • Experience in a school administrative capacity preferred.
  • Constant exercise of discretion and independent judgment.
  • Demonstrated ability to work with Microsoft Office products.
  • One to three years secretarial experience, preferably in an educational setting.
  • Effective organization, communication and interpersonal skills.
  • Ability to operate office equipment.
  • Flexibility and desire to work as part of a team.
  • Will successfully pass a criminal background check.
